1. About this Policy and its scope

This Privacy Policy explains how Koeta Inc. ("Koeta," "we," "us," or "our") collects, uses, discloses, and safeguards personal information in connection with koeta.io (the "Site"). It's written to comply with Canada's federal private-sector privacy law, the Personal Information Protection and Electronic Documents Act ("PIPEDA").

This Policy covers the Site only. It does not apply to PetKira or any other Koeta product, each has its own privacy notice inside the product, addressing the different kinds of data those products handle.

2. Personal information we collect, and how

The Site's contact link opens a pre-filled email in your own email application. Opening that link does not, by itself, send us anything - we don't receive personal information merely because you clicked it. If you choose to send that email (or email us directly), we receive whatever you include: typically your name, email address, the topic you selected, your message, and ordinary email metadata (like the time sent).

If you opt in to receive marketing communications from us, for example, by subscribing through a form on this Site once one exists, we collect the email address and any other information you provide at that time, and a record of your consent (date, method, and the wording you agreed to).

We do not otherwise collect personal information through the Site.

3. Information we do not currently collect

As of this Policy's last-updated date, this Site does not use analytics, advertising trackers, or tracking cookies of any kind, does not require an account, and does not process payments. If any of that changes, for instance, if we add analytics in the future, we'll update this Policy first, and seek your consent where the law requires it before collection begins.

4. How and why we use personal information

We use the personal information described above to:

  • respond to your inquiry or message;
  • evaluate a potential business, product, or client relationship;
  • maintain reasonable business records of our correspondence;
  • protect our rights, systems, and the security of the Site; and
  • comply with our legal obligations.

If you've opted in to marketing communications, we also use your email address to send you the updates you agreed to receive. We will not use personal information for a materially different purpose than the one it was collected for without seeking your fresh consent, unless the law permits or requires otherwise.

5. Consent and your choices

By sending us an email through the Site, you're giving us your implied consent to use that information to respond to you - that's a reasonable expectation of contacting a company directly. Sending us an inquiry does not sign you up for marketing communications; that requires your separate, express, opt-in consent (for example, checking an unchecked box and submitting a form), consistent with Canada's Anti-Spam Legislation ("CASL"). Every marketing email we send will identify us clearly and include a free, working way to unsubscribe.

6. When we share personal information

We disclose personal information only:

  • to Koeta personnel who need it to respond to you or run the business;
  • to service providers who help us operate the Site or send correspondence (see the next section);
  • to professional advisors (like accountants or lawyers) under a duty of confidentiality;
  • where required or permitted by law, such as a valid legal request from an authority; or
  • as part of a genuine business transaction (like a merger or sale), where the recipient is bound to protect it consistently with this Policy.

We do not sell personal information, and we do not share it with third parties for their own marketing or behavioural-advertising purposes.

7. Service providers and processing outside Canada

We rely on third-party service providers - for example, for website hosting, email, and security - who may process personal information on our behalf. Depending on the provider, that processing may occur in Canada or another country, and information may be accessible to courts, law enforcement, or national-security authorities under that country's laws. Contact our Privacy Officer (below) if you'd like more detail about the specific providers involved.

8. Retention and secure disposal

We keep correspondence and related personal information only for as long as reasonably necessary for the purposes described above, including responding to you, keeping appropriate business records, and meeting legal obligations. How long that is varies with the nature of the inquiry. When information is no longer needed, we delete, anonymize, or securely dispose of it.

9. Safeguards

We use reasonable administrative and technical safeguards appropriate to the sensitivity of the information involved - including restricting who can access business correspondence, securing our accounts, and choosing service providers who maintain their own reasonable security practices. No method of transmission or storage over the internet is completely secure, and we can't guarantee absolute security.

10. Security incidents and breach response

If we become aware of a breach of security safeguards involving personal information under our control, we assess whether it poses a real risk of significant harm. Where that threshold is met, we'll notify the affected individuals and report to the Office of the Privacy Commissioner of Canada, as required by law, and keep a record of the incident.

11. Your rights: access, correction, and withdrawal

Subject to applicable law, you can ask us to:

  • confirm whether we hold personal information about you, and give you access to it;
  • correct information that's inaccurate or incomplete; or
  • withdraw your consent to a use based on consent (like marketing emails), at any time.

We may need to verify your identity before responding, and we'll typically respond within 30 days. There's generally no charge for making a request. To exercise any of these rights, contact our Privacy Officer below.

12. Children

This Site is a general corporate website, not directed at children. We do not knowingly solicit personal information from children. If you believe a child has sent us personal information, please contact our Privacy Officer and we'll address it.

13. Cookies and similar technologies

This Site does not currently set analytics, advertising, or tracking cookies. If that changes, for instance, if we later add analytics to understand how the Site is used, we'll update this section first and, where the law requires it, ask for your consent before any non-essential cookie is set.

14. Changes to this Policy

We may update this Policy to reflect changes in our practices or legal obligations. We'll post the revised version here with a new "Last updated" date, and where a change is significant, we'll give additional notice or seek your consent again, as required by law.

This Policy was researched against current federal law (PIPEDA) and the Anti-Spam Legislation (CASL) as of July 2026, and reflects how the Site actually operates today, not a generic template. It is written in plain language rather than formal legal boilerplate, but it is not a substitute for review by a licensed Canadian lawyer, and shouldn't be treated as legal advice. In particular, the mailing address above is a placeholder pending confirmation, and this Policy should be reviewed again before Koeta adds analytics, a payment flow, or any other feature that changes what personal information the Site collects.
